A PPM schedule is a simple document that goes wrong in one predictable way: it drifts. It starts as a list of assets and intervals, and within a year the boiler service has moved twice, a contractor has changed, two assets have been replaced and one has been added by somebody who did not tell you. The schedule still looks complete, which is the problem. This guide is about building one that can be checked against reality rather than trusted.

List the assets before the dates

Walk the site or take the register from the last contractor's report and list what is actually there, with locations. A schedule built from last year's schedule inherits every omission in it, and the asset that was never on the list is the one nobody will notice is unserviced.

Put the interval on the asset

Quarterly, twice yearly, annual: hold it against the asset rather than in the calendar. Then this month's due list is derived from the register instead of maintained beside it, and moving one visit does not silently move the next one with it.

Close the loop with the completed visit

A schedule is a plan until the visit is recorded against the asset. Recording it is what turns the schedule into a maintenance history, and the history is the only part anyone ever asks to see. The free check sheet on this site sizes that visit before you commit to an interval you cannot staff.

What a facilities manager asks before running the Ppm schedule

What goes in a PPM schedule? Every serviceable asset with its location, its service interval, who performs the service and when it was last done. Dates without assets are a calendar; assets without dates are an inventory.

How often should assets be serviced? That follows the manufacturer's instructions, the equipment's duty and any statutory requirement, which is a decision for a competent person and not for this site. The check sheet takes whatever interval you set and shows what it costs in hours.

Quarterly or annual? The arithmetic is worth doing before deciding: run the check sheet at two intervals and compare the hours a year. A quarterly regime on a large register can cost more engineer time than the failures it prevents on low-duty plant.

Can a spreadsheet hold a PPM schedule? It can hold it, and it holds it badly once more than one person touches it or the site has more than about fifty assets, because nothing derives the due list and nothing records that a visit actually happened.
